Overview: Smile Box has proudly partnered with Pandora for the past three years, supporting employee wellbeing and recognition through thoughtful, branded gifting. During this time, we've developed a strong understanding of the Pandora brand, its culture and tone of voice, enabling us to create experiences that feel authentic, engaging and aligned with Pandora’s already impressive people strategy. Summary of Discussion: Following our meeting, we explored a number of opportunities to support your colleague wellbeing strategy during Q4, with a focus on delivering meaningful initiatives that engage colleagues during the busiest period of the retail calendar. With a new CEO in place for Pandora, there is greater emphasis on genuine wellbeing solutions and an opportunity to evolve from your last order which was predominantly confectionery-based. While these branded Black Friday Boxes were well received, a shift to more practical wellbeing items that encourage rest, self-care and resilience, will create a more meaningful employee experience. We discussed several upcoming opportunities where Smile Box could provide support including: 1. Regional Management Summit (September) – Create a small token gift box to be enjoyed by Store Managers attending regional summit events across the UK. 2. Black Friday Staff Room Sharer Boxes – Create a refreshed concept for delivery to all Pandora stores, building on previous success whilst introducing new wellbeing products that better reflect Pandora's evolving wellbeing strategy. 3. Q4 Wellbeing Appreciation Boxes – Explore individual wellbeing gift boxes featuring practical products designed to support colleagues through the demands of the festive trading period - this could potentially tie in with World Mental Health Day (10 October).th 4. Wellbeing Workbook – We can create a fully branded Wellbeing Workbook, including practical advice, activities and educational content, with the addition of financial wellbeing following colleague feedback that this is an area where further support would be welcomed. 5.Wellbeing Workshops – We can deliver engaging virtual wellbeing sessions to provide colleagues with practical tools to support their mental health and wellbeing both inside and outside the workplace. Our SolutionsOutcome: These boxes are designed to recognise and support Pandora colleagues during the busiest trading period of the year, when store footfall and customer demand are at their highest. This time of year can be particularly demanding for retail teams, making it an ideal opportunity to provide a thoughtful moment of appreciation that encourages colleagues to pause and recharge to renew their energy. Following the success of our branded sweet boxes for Black Friday 2025, Charlie highlighted a desire to evolve this year's concept towards more practical wellbeing products that better reflect Pandora's wellbeing strategy. Our Solutions Outcome: This year we can create a theme of Festive or World Mental Health Day (10 Oct) Boxes with a Mental Health Workbook in every box containing resources and activities that educate, engage and support colleagues. We can include content around financial wellbeing within the workbook following feedback that staff would benefit from this (Charlie). th We successfully delivered fully branded Staff Room Sharer Boxes in both 2024 and 2025, which received excellent feedback. Last year, we intentionally took a different approach with the Black Friday Boxes to keep the employee experience fresh and varied. This year presents an opportunity to reintroduce the Staff Room Sharer Box with a refreshed concept and new wellbeing focus. To maintain familiarity we'll retain some of the most popular products from previous years, including Hand Cream, Nourished Vitamins and Scentered balms. Alongside these staples, we’ll also include a selection of new products to create an exciting and engaging wellbeing experience for colleagues.Contents: Small Staff Room Sharer Box: Approximately 60 items to support self-care, wellbeing, mental health and energy. Topics can include anxiety, financial wellbeing, social media, self-esteem, personal safety and more. As well as providing valuable support for colleagues, the workbook helps demonstrate Pandora's commitment to employee wellbeing, CSR and EVP, contributing to improved engagement, morale and retention. We can also link to staff EAP and Portals using QR codes. All content is written in line with Pandora's brand guidelines by Donna Fisher, Founder of Smile Box. Donna is a qualified NLP Coach, Mental Health First Aider, trained in suicide prevention and awareness, and holds a Level 2 qualification in ‘Understanding Health Improvement in the Workplace’ (Royal Society for Public Health certification). If you commit to three of the projects above we are able to provide a discounted supply of the workbooks for just £2.50 each (minimum order of 1,000). This means all staff could then enjoy one workbook each. These could also be shared with new starters through the year as part of their onboarding experience. WELLBEING WORKSHOP DELIVERY £995 (excluding expenses) In person or delivered remotely with fully branded slide deck to share after the event. Workshops can be tailored but topics can include: Self care, Positivity, wellbeing in the workplace, Mental health Awareness, women’s health, neurodiversity, confidence and self esteem, social media awareness and financial wellbeing. The following Terms and Conditions (“the Conditions”) are the terms on which Smile Box (“the Company”) sells to other businesses (“the Buyer”) and supersede all other terms and conditions used by the Company. Following verbal or written confirmation of an Order, the Company shall confirm the Order and details which will be specified to the Buyer via e-mail. This will confirm the details for the order including quantity, price and contents within the Smile Box in accordance with the agreements made between the Company and the Buyer. 1. Orders, Price and Payment 1.2 In the event of any errors or discrepancies, the Buyer must notify the Company immediately so that this can be rectified and corrected. 1.3 Where purchase order numbers are used by the Buyer, this must be provided at point of Order so it can be quoted on the Invoice. 1.4 Once the order has been confirmed by the Buyer, an invoice will be issued which will show Goods and Prices agreed between the Company and Buyer and will state clearly any VAT payable and delivery charges. 1.5 For orders 8 weeks or further away, 50% Deposit payment is due no later than 7 days after the Order is placed. The remaining 50% is payable at point of order for your products. These Due Dates will be confirmed verbally or in writing. If the delivery of your order is required in less than 8 weeks, then the full payment is required at the point of order so that items can be purchased for your Smile Boxes to prevent delay in despatch. 1.6 Any cancellation of an Order by the Buyer must be in writing, and agreed as cancelled also in writing by the Company. If this occurs after payment of a Deposit, this payment will not be refunded to the Buyer but the Buyer will be released from its obligations under the contract for any further payments due and the Goods will not be provided. In the event that branded items have already been purchased, you will be billed for these. 1.7 All payments should be made by bank transfer via your finance department. It may be possible to make a payment by card, but this will attract an additional processing fee which is typically around 3%. 2. Goods and Delivery 2.1 The description and quantity of the Goods to be sold (“the Goods”) shall be as set out in writing by the Company to the Buyer (“the Order”). 2.2 In the unlikely event that a selected item is unavailable, the Company reserves the right to issue a substitute item of their choice to fulfil the Order and will notify the Buyer in writing of this modification. 2.3 The Company shall deliver the Goods to the Buyer in accordance with the Delivery details specified and agreed on the Order Form. 2.4 Where it is agreed that the Company will send the Goods directly to recipients, the Company agrees to use a legitimate delivery partner, but any responsibility for safe delivery of the Goods lies with the delivery partner once in their possession and no compensation will be due for non-delivery of any items. 2.5 If the Company is sending the Goods directly to recipients it agrees to do so in line with the Smile Box GDPR Policy, a copy of which will be sent to the Buyer for review. This will include a Data Processing Agreement. 2.6 The Buyer shall make all necessary arrangements to take delivery of the Goods on the day notified by the Company and accepts liability for any loss incurred should they not make the necessary arrangements to accept the delivery. 3. General 3.1 Any testimonials and feedback provided by the Buyer or their employees may be used by the Company in their promotional materials, newsletters and on social media. They may also share photographs and imagery of your particular Smile Boxes but this will not identify any of your recipients personal data or confidential details. 3.2 Save in respect of personal injury or death due to any negligence, the Company shall not be liable to the Buyer in respect of any loss suffered by the Buyer or their employees due to any defect in the Goods. 3.3 If any term or provision of these Conditions is held invalid, illegal or unenforceable for any reason by any Court of competent jurisdiction, such provision shall be severed and the remainder of the provisions hereof shall continue in full force and effect as if these Conditions had been agreed with the invalid, illegal or unenforceable provision eliminated. 3.4 The Company shall not be liable for any default due to any circumstance beyond the reasonable control of the Company including, but not limited to, Acts of God, war, civil unrest, riot, strike, lock-out, acts of civil or military authorities, fire, flood or earthquake. 3.5 The laws of England and Wales shall govern this Agreement and the parties hereby submit to the exclusive jurisdiction of the courts of England and WalesTERMS AND CONDITIONS19
