Each year, a theme is selected and shared with all Star Leaders well in advance (approximately 2– 3 months before the event) through an official letter and Star Leaders' Viber groups. In Malé, the outing is conducted on the date specified in the MGGA Calendar. However, schools in the atolls are given the flexibility to organize their outings within the designated period mentioned in the official letter. Atolls or islands with more than one participating school (for example, Addu and Kulhudhuffushi) are encouraged to conduct the outing together as a team, similar to the practice in the Malé area. Addu has successfully followed this approach over the past several years. A small MGGA team (usually one member funded by MGGA) may visit these locations, adding value and support to the event. Meeting 1 – Initial Planning Meeting A planning meeting is held with Star Leaders from Malé. Information Collected • Total number of Stars participating • Availability of schools and venues • Number of Guiders, staff, and other members attending • Discussion of the annual theme • Distribution of activities among schools • Discussion and finalization of the menu Activity Planning Schools are assigned activities related to the theme. This allows leaders to: • Develop creative and practical activity ideas • Prepare materials and resources • Be ready to present their activity plans during the second meeting A minimum of two representatives from each school should attend this first meeting. Outing Fee The outing fee is discussed and finalized. The fee is usually based on: • Treasure hunt gifts • Activity materials and stationery

P a g e 13 | 15 • Outing badges • Other event expenses Guidelines: • The fee should generally not exceed MVR 130, including outing badges. • Some schools in the atolls collect only MVR 30 for the two badges, as parents provide food and other requirements. • In Malé, schools generally collect MVR 100, while parents arrange food unit-wise. Registration Following the meeting, a registration link is shared with school leaders through the Star Leaders' Viber group. Meeting 2 – Activity Review and Venue Planning This meeting is usually conducted one week after Meeting 1. During this meeting: • Leaders present the activities they have prepared. • Activity plans are reviewed and refined based on group feedback. • Final adjustments are made to ensure activities align with the theme and venue. Grouping by Location Depending on the venue, schools are divided into location groups. Usually: • 4–5 schools are assigned to each location. Each location group: • Determines its own meeting schedule. • Creates a Viber group for communication and coordination. This leads to the third planning stage. Meeting 3 – Location-Based Planning Meeting Meeting 3 is conducted among the schools assigned to the same outing location. The purpose of this meeting is to finalize arrangements using the Star Outing Checklist. Tasks to be Completed Appoint a Location Leader A leader should be selected to coordinate all activities and communication at the location. Arrange Meals Discuss and agree upon: • Meals for leaders • Arrangements for Stars' meals

P a g e 14 | 15 The MGGA team may occasionally join the meals and contribute financially towards breakfast expenses. Inspect Classrooms and Facilities • Inspect available classrooms. • Allocate units to specific classrooms. • Ensure adequate facilities for all participating groups. Decide Decorations • Plan and allocate decoration responsibilities. • Ensure decorations reflect the annual outing theme. Participation The Star Commissioner should be involved in these meetings. Committee members are also encouraged to attend and support the planning process. Additional Star Outing Responsibilities MGGA assigns a team to each location to oversee the outing and coordinate with the school team.
