OCR Insurance Card • Effective 4/22, users can utilize the Scan Insurance Card button within the Create New Coverage window when adding new patient coverage. • Once scanned, Epic uses OCR technology to pull insurance information directly from the insurance card into the coverage record. An insurance card document will also automatically generate and link to the newly created coverage.

If you need support from the Front Office Informatics team for front office workflow questions/concerns: Click Here 1. In Epic, click FIX IT and choose Clinical Informatics Service Request. Need To Submit an Incident? If you experience issues with the workflows in this newsletter or any other Epic-related problems: Click Here 1. In Epic, click FIX IT and choose New Epic Incident to send your request to IT. For Critical Issues affecting patient care, call the IT Service Desk at 470-956- 6000 immediately. Need To Submit an Enhancement/Optimization? If you have an idea to improve an existing workflow and want to suggest a new feature or tool in Epic: Click Here 1. Use the FIX IT Button in Epic: From your Epic toolbar, click FIX IT and Select Request an Epic Optimization. Workflow Spotlight: Key Reminders Rehab Referral Workflow Reminder Did you know? Authorizing outpatient rehab referrals before routing them to the receiving rehab department may prevent the referral from appearing in the rehab Referred To workqueue. Best Practice: To help support appropriate routing and workqueue visibility, referring offices should avoid authorizing rehab referrals prior to routing them to the receiving rehab team. This helps ensure referrals are visible to the appropriate rehab workqueues for follow-up and processing. Are You Responsible for Referral Authorizations for Your Practice? If so, FOIS has a resource designed to help support your day-to-day workflows! The WMG Referral Authorization Training Guide was created to provide front office teams with additional guidance surrounding referral and authorization processes, including: Authorization workflow guidance Portal access request guidance Tips for navigating payer authorization portals Best practice recommendations Process clarification support This guide was developed to help support consistency, reduce rework, and provide teams with a go-to resource for common referral authorization questions. The FOIS team officially launched the FOIS Office Hours Pilot on May 5, 2026, to provide front office teams with workflow support, Epic guidance, and real-time collaboration. What Are Office Hours? Live support sessions where front office staff can: • Ask workflow questions • Review Epic/front office processes • Discuss scheduling & referral concerns • Receive real-time guidance from FOIS No ticket required. Pilot Details • 1-hour sessions • Weekly for 6 weeks • Focused on proactive-support and workflow trends Current Pilot Locations Austell, Powder Springs, Dallas, Douglasville, Villa Rica, and Marietta offices.
