Last week, we clarified SharePoint's function. It serves as both a communication portal and a file storage system. Along with the Local Drive (C:), Shared Drive (W:), and OneDrive, we now have four options for document storage. Which drive to save your file on depends on the type and purpose of the document. Is the document personal or public (e.g., belongs to a department)? Is it meant to be kept or shared? To get help from others to contribute to your file for a limited time, OneDrive is the best place to keep it, so you can share and un-share as needed. Examples include your presentation file, T-shirt size collection, etc. To allow a few people to collaboratively edit a public document and keep it accessible to them, SharePoint is the best option. Examples include the CIT observation list, monthly report, etc. Network drive shared folders are the traditional way for file sharing. Compared to SharePoint, they are relatively tricky to manage access and lack version history. *Version history refers to the feature that tracks and stores different versions of a document as changes are made over time. In short, SharePoint is the new generation of the Shared Network Drive (W:), while OneDrive is the cloud version of your personal Drive (C:). Make use of Outlook Rules and Alerts to manage your inbox by moving emails to specific folder, change color, or make a sound when it arrives. No more missing emails or messy inbox anymore! By default, email are subjected to 1 month expiry based on Abbott policy. Do you know you can keep important emails for more than a year? • Create a custom folder under your email. Do not create under Inbox! It will set retention policy of 30 days if you do. • Move any mail you wish to keep longer into the new folder. Voila! Longer retention period of 456 days! 1. Open Outlook. You can access to “Rules and Alerts” either via File or from navigation bar. Steps: 2. Click on “New Rules” for new rules and alerts. 3. Choose premade templates or make your custom rules! Example with custom rules set for focused recognition cards: 1. Add condition to search subject. 2. Add condition to move the email. 3. Edit the rule conditional from here anytime and done, email auto sorted! Simply double click on the underlined red highlight to edit. For instance, Power BI Dashboards, Bots, calendar, Planner, Workflows & etc. Anyhow, the main collaboration function is in the "Teams". “Teams” as a collaboration user interface, allows its owners to decide on members, park shared files, publish relevant Power BI pages, as well as task management Planner. Click on the “Teams” icon and you will find every teams you have joined on the left panel. Multiple channels can be created under a team to accommodate activities for different groups. Each team is backed by a Sharepoint of the same name, for storage of the files, surveys, or the Planner you have created. team channels Due to the integration between teams with Sharepoint, when you apply for a team via myIT PORTAL, it comes with a Sharepoint.
